Who we are

golftripbuilder.com, its trip assistant and its planner in ChatGPT are run by Stephen Pickering, who decides how your data is used. Contact him at privacy@golftripbuilder.com.

What we collect

When you plan in ChatGPT, we receive the trip details you give the planner: destination, dates, group size, courses, hotel standard, transport, budget, handicaps and any notes you add. ChatGPT itself is run by OpenAI, and your conversation there is covered by OpenAI's privacy policy. We don't receive the rest of your ChatGPT conversation.

When you use the trip assistant on this site, what you type is sent to OpenAI, whose GPT-5.6 model writes the replies. OpenAI doesn't use it to train its models, and keeps it for up to 30 days to check for abuse. We don't keep the conversation: it stays in your browser while the page is open. If you use dictation, your browser's own speech service turns your voice into text; we never receive the audio.

When you visit, we count page views and clicks, with the page you came from, your browser and device type and your approximate country, so we can see which pages are useful. The planner in ChatGPT counts which of its steps are viewed in the same way. This uses no cookies and doesn't identify you.

If you ask for a golf trip quote, in ChatGPT or on this site, we also collect your name, email, phone number, country, preferred time to be contacted and time zone, and any message you add. If you ask us to email your plan to you, we collect your email. If you use our contact form, we collect your name, email and message.

We don't collect payment details: nothing is booked or paid through us.

How we use it

We don't use your details for advertising, and we don't send marketing emails.

Who we share it with

Only Scotland Golf Tours, a golf travel firm that designs and books trips, and only when you ask for a golf trip quote. We pass on your name, email, phone number, country, preferred contact time and time zone, any message you add, and your trip, so they can contact you and quote. We tell you who they are when we pass it on.

Four service providers handle it for us: Vercel hosts the site and the planner, OpenAI runs the AI model behind the trip assistant, Brevo sends our emails (trip briefs, your own copy of a trip, and contact form messages), and PostHog counts visits to the site. They use it only to provide that service. We don't sell your details.

How long we keep it

A shared trip link carries the trip inside the link itself, so we don't store it. We keep quote requests, partner briefs and contact messages for up to 24 months, so we can answer questions about a booking.

Your choices

You can plan a trip without giving us your name or contact details: they're only needed if you ask for a quote. Ask us for a copy of your data, to correct it or to delete it, at privacy@golftripbuilder.com. We reply within 30 days.

Cookies and partner tracking

This site doesn't set advertising or analytics cookies. Our visit counts (PostHog) work without them. When you click a link to one of our partners, such as a hotel, tee-time or golf package booking site, the partner's site may set its own cookies to record that you came from us, so we can be paid if you book. Their privacy policies apply on their sites.

The trip assistant keeps the trips you've sent for a quote in your browser's storage on this device, so you can see them again under Enquiry. Clearing your browser data removes them.

Where it's processed

Our service providers may process your data in the United States, the United Kingdom and the European Union. Our travel partner is in Scotland.

Children

golftripbuilder.com is for adults planning travel. We don't knowingly collect data from anyone under 18.

Changes

If we change this policy, we'll update it here and change the date at the top.
